Internship report format: structure, sample and what examiners check

Short answer

No single national internship report format exists; your college's notice decides it. Formats published by Jorhat Engineering College, NIT Goa and Manonmaniam Sundaranar University all open with a title page and certificate, and UGC's 2023 internship guidelines and the AICTE Internship Policy have examiners mark the report alongside your daily log, the supervisor's evaluation and a viva.

What is an internship report and who reads it?

UGC's Guidelines for Internship/Research Internship for Under Graduate Students (2023) put it in one line: "On completion of Internship, intern will prepare internship report and get it endorsed by mentor." It is the written record your college grades, prepared after the work ends and checked against the papers the host sends.

The AICTE Internship Policy: Guidelines and Procedures describes it as a report "to indicate what he has observed and learnt in the training period". Several people handle it. Under AICTE's policy the Internship Supervisor, the TPO and the Faculty Mentor all sign it. Examiners then mark it, and under both the AICTE and UGC documents they do so through a seminar or viva.

That last reader matters most. You write for someone who was not there, has a stack of other reports, and will ask you questions about yours.

Step 1: Which format does your college want?

Use the internship report format your own college or university publishes; there is no single one for the country. UGC's 2023 guidelines leave evaluation to the institution: "The parent HEI will examine/evaluate the student's performance following its evaluation method." So the notice from your department outranks any template you find online.

Four published documents show how far colleges differ. Jorhat Engineering College (JEC Assam) issues a short format with a fixed order of contents.

NIT Goa publishes a one-page table of margins, binding and chapter order. Manonmaniam Sundaranar University (MS University, Tirunelveli) gives its distance-education M.Sc. Chemistry students a full template with bracketed placeholders. Karnatak University, Dharwad (KUD) sets marks and page counts for its NEP undergraduate programmes of 2 and 3 credits; BCA and a few others follow their own syllabus.

They disagree on details. JEC wants references "in alphabetical order" by first author. NIT Goa wants them "listed in the order of its appearance in the text", numbered in square brackets. KUD wants the whole report handwritten on those programmes. Ask your internship coordinator for the current notice before you type a word, and keep a copy.

Three more add a state university's 2025 rules, a commerce college and a second engineering college. Guru Jambheshwar University of Science and Technology, Hisar (GJUST) issued its NEP-2020 Internship Guidelines for Under Graduate/Integrated Programmes on 18 June 2025, with an indicative report format in Appendix-IV.

St. Joseph's College of Commerce, Bengaluru (SJCC) publishes Guidelines for Preparing Internship Report for B.Com, BBA and M.Com students; its M.Com pages are headed for the 2016-18 batch, so ask whether a newer copy exists. Aditya Institute of Technology and Management, Tekkali (Andhra Pradesh) publishes its own Internship Report Guidelines with four sample pages.

Step 2: What goes in the front pages?

Before Chapter 1, the three sequences in the table all carry a title page, a certificate, a table of contents and an abstract. NIT Goa adds an acknowledgement, and MS University adds both an acknowledgement and a declaration. Each college orders them its own way, so copy your college's sequence exactly.

The cover page has its own rules. GJUST's format wants the title in capital letters, your name, roll number and department, and it says "No logo of the Internship providing organization should appear as this might violate copyright/trademark privileges".

SJCC's B.Com and BBA sequence runs cover page, declaration, guide certificate, company certificate, a confidential rating form, and then the acknowledgement. Aditya puts the host's own internship certificate third, straight after the college certificate.

JEC asks for the abstract as a "one-page synopsis of the report". MS University's template sets it at 150 to 250 words and splits it into background, method, results and significance. NIT Goa says an abstract should be "factual" and draw attention to "the main conclusions".

Aditya calls the same page an executive summary, sets it at 2 pages, and wants a paragraph each on the company, the problem, the method, your findings and the benefit to the host.

The declaration in MS University's template says the report "has not been submitted to any other organization, institution, or journal". The acknowledgement thanks the supervisor, the team and your own institution by name. Step 3: How should the chapters be arranged?

Arrange the chapters as introduction, the work itself, and a conclusion, then references and appendices. JEC Assam puts it as three broad parts: "(i) Introductory Chapter (ii) Chapters developing the main theme of the project work (iii) and Conclusion". NIT Goa and MS University each publish a longer version of that arc.

NIT Goa spells out a longer sequence: Introduction, Literature Survey (optional), Chapters 1 to 5 "as per the work carried out", Summary and Conclusions, Scope for Future Work, References, and an optional Appendix. Page numbers go at the bottom centre, and equations, figures and tables are numbered chapter by chapter, so the first equation of Chapter 2 is (2.1).

MS University's template adds a section that suits a placement outside a laboratory: "About the Company", a short account of the host's background and the division you worked in. Its chapters then run Introduction, Methodology, Results and Discussion, Conclusion and References. Its methodology and results pages are written for chemistry, so replace the lab headings with the tasks you actually did.

Formats written for placements outside a laboratory name the chapters after the work. GJUST's 2025 guidelines say the report should include "an introduction to the organization, internship objectives, work completed, observations, learning outcomes/experiences". SJCC's B.Com and BBA report has four chapters: Introduction (focus, objective, scope and limitations), Company/Organization Profile, Work Experience covering "all the weeks interned", and Observations and Conclusions.

SJCC's M.Com guidelines add a rule for the profile chapter: "Do not attach photocopies of company brochures, but develop the profile in your own language". The same document caps the organisation profile at 4 pages and asks what challenges you faced and where you applied theory from your course.

A student at a non-profit or a business office can map the same frame: the host and your role, what you were asked to do, how you did it, what came out of it, and what you would change.

Step 4: How do you turn your daily diary into the report?

Build the report out of the diary you kept during the internship. AICTE's policy says "Daily diary will also help to a great extent in writing the industrial report", because the information is already there. It also asks students to record each day's "observations, impressions, information gathered and suggestions given".

Under the AICTE policy the diary is signed daily by the supervisor or section in charge and shown to the visiting Faculty Mentor. If your course runs a field diary under its own rules, see how a fieldwork diary is kept.

  1. Read the diary end to end and mark every entry that records a task, a figure, a decision or a problem.
  2. Group the marked entries by task or project, not by date. Each group becomes a chapter or a section.
  3. For each group, write what you were asked to do, what you did, and what came of it, with the numbers from the diary.
  4. Keep dates only where the sequence matters, such as a survey that ran over three weeks.
  5. Write the abstract and the conclusion last, once you can see the whole report.

AICTE also lets you ask the industrial supervisor, faculty mentor or TPO for "special topics and problems" and to write the final report on those. If your host gave you one clear assignment, that assignment can be the spine of the main chapters.

What goes in the weekly report section?

Some colleges want the diary's shape kept inside the report. Aditya asks for a "Weekly overview of internship activities" at 1 page for one week, a table with a row for each day from Monday to Saturday and the topic or module completed. SJCC's M.Com guidelines let the main discussion be split into "Six to Eight Weekly Progress Reports", fortnightly reports or a single final report, depending on the work.

What does a sample internship report look like?

An internship report sample on the MS University template runs from title page, certificate, declaration and acknowledgement through contents, abstract and an about-the-company section to introduction, methodology, results and discussion, conclusion and references. The content has to be yours: any internship report example you find online describes another student's host, dates and tasks, so it can guide layout and nothing else.

The outline below follows the placeholder style of MS University's template and uses a non-profit placement as the example. Every bracket is left for you to fill. Treat this internship report sample as a teaching aid; it cannot be submitted as anyone's report.

How long should an internship report be?

As long as your college's notice says. The published rules run from a limit on the abstract alone to 40 to 50 handwritten pages, and each row below is that college's own rule, binding only on its students.

Aditya also asks for a separate internship report for each company if you interned at more than one.

Should you submit it as a PDF, a printout or by hand?

Submit it in whatever medium your college names, because the published rules point in opposite directions. JEC Assam asks for A4 and spiral binding. NIT Goa asks for A4 "good quality (bond/maplitho)" paper, spiral binding and "double sided printing". KUD, for its 2-credit and 3-credit NEP undergraduate programmes, asks for a hand written report and states "Printed copy is not allowed".

NIT Goa's margins show why a borrowed template fails. Inside pages take 3 cm top and bottom, 4 cm left and 2 cm right, while the cover takes 4 cm on every side. The binding edge carries your name, the year and the report title.

GJUST is the one document here that asks for an internship report PDF: students submit "A hard copy and soft copy (PDF) of the internship report" to the department within 15 days of finishing, with the host's completion certificate.

Aditya wants two printed copies, one for you and one for the department. SJCC's M.Com guidelines ask for three. If your notice is silent on a soft copy, ask before the deadline.

What do examiners check in the report and the viva?

Under the UGC and AICTE documents, examiners mark the report together with your logbook, the host's evaluation and a presentation or viva. UGC's 2023 guidelines list six "suggestive aspects" for an expert committee "(One Internal and One external)", starting with the "Activity logbook and evaluation report of Internship Supervisor" and "Format of presentation and the quality of the intern's report".

AICTE's policy marks the report on five criteria, starting with "Originality" and ending with "Practical applications, relationships with basic theory and concepts taught in the course". The policy grades the whole placement at three points: the host's own assessment, a faculty member's site visits, and a seminar or viva back at the institute. At that seminar "Attendance record, daily diary, departmental reports shall also be analyzed along with the Internship Report."

KUD publishes the marks for its NEP undergraduate programmes. For its 2-credit B.A., B.Sc. and B.S.W. programmes the split is report 20, presentation (5 to 10 minutes) 20 and viva 10, out of 50. For 3-credit programmes such as B.Com. and BBA it is report 35, presentation 45 and viva 20, out of 100. Two examiners assess it, one internal and one external.

At KUD's 3-credit level the presentation carries more marks than the report. Practise explaining your main chapter aloud in five minutes.

GJUST has a committee of at least two teachers mark out of 100 on the report and a viva-voce, with a pass at 40% (Grade P). A student who fails the report evaluation may submit a revised report and "will not be required to repeat the internship".

The skills you claim in the learning-outcomes chapter should match what you later write under the resume format for an internship, because an interviewer may ask about both.

How does a college check the certificate inside your report?

A college checks the certificate against the host's own records and against the rest of your file. Under AICTE's policy the diary and report reach the institute with an attendance record and a host evaluation sheet that is "duly signed and stamped", and the report is signed by the Internship Supervisor, TPO and Faculty Mentor.

AICTE also has the TPO or faculty mentor make a surprise visit to check the student is physically present; a student absent without prior intimation has the "entire training" cancelled. UGC asks the mentor to "check and validate the performance of students fortnightly" before issuing the certificate. KUD's Annexure A certificate goes on the host's letter head, carries the mentor's signature, and rates your performance in preparing the report "in 1 to 10 Points/Grade".

Colleges also refuse reports that arrive without one. GJUST states "Reports without the completion certificate will not be accepted". SJCC's M.Com guidelines want the certificate on the company letterhead, signed by the supervisor or someone senior, with "an official stamp and the date". A certificate is worth what you did to earn it and nothing more. An examiner who reads "completed successfully" will still ask what you did in week three. Common questions
Is there a plagiarism percentage limit for an internship report?

Not a national one. The UGC plagiarism regulations of 2018 cover Masters and Research level work: Level 0 is similarities up to 10%, "minor similarities, no penalty", and penalties fall on Masters and Research students. Their definition of a script excludes project reports and does not name internship reports. UGC's internship guidelines ask for a no-plagiarism undertaking only for research internships. Your college may run its own check.

Can I download an internship report PDF and submit it as mine?

No. The AICTE Internship Policy puts originality first among the report's marking criteria, and Manonmaniam Sundaranar University's template declaration has you state that all content is your own work except where referenced. For research internships, UGC wants an undertaking that there is no plagiarism. A downloaded report also cannot match your own diary and certificate.

What should the acknowledgement for an internship report say?

Thank the people who made the work possible, by name. Manonmaniam Sundaranar University's template thanks the internship supervisor, other team members for specific help, the host's team as a whole, and finally the student's own institution. Keep it to one page and name real people, since your supervisor will read it.

How many copies of an internship report do I submit?

Your college sets the number. Aditya Institute of Technology and Management, Tekkali asks for two copies, one for the student and one for the department. St. Joseph's College of Commerce, Bengaluru asks for three copies of its M.Com report. Guru Jambheshwar University of Science and Technology, Hisar wants a hard copy and a PDF within 15 days.

Can a group submit one internship report?

At Karnatak University, Dharwad, yes: its guidelines for 2-credit and 3-credit NEP undergraduate programmes say there may be a common report for a given group, submitted as a handwritten copy. The other formats opened for this guide describe a report by one student. If you worked in a team elsewhere, ask whether each member must write separately.

What font and spacing should an internship report use?

Jorhat Engineering College (JEC Assam) specifies Times New Roman, size 12, black, with 1.5 spacing between rows, main headings at 14 bold and sub-heads at 12 bold. NIT Goa also uses Times New Roman 12 at one and a half spacing, with the cover title in capitals at size 24. Follow your own college where it differs.
