Internship completion certificate: what it is and how you get one

What is an internship completion certificate?

The University Grants Commission (UGC) gives two people a part in the completion certificate in its 2023 Guidelines for Internship/Research Internship for Under Graduate Students. The internship supervisor, a person your college nominates, makes sure the intern is issued one when the internship ends. The mentor, a professional identified by the college or by the student, checks the intern's performance fortnightly and issues the certificate or report after completion.

In practice an internship certificate of completion is a statement by the host, made after the last day, that you did the internship for the dates it names. The AICTE Internship Policy gives it another name and puts it near the end of a seven-step procedure. Step 5 is the student's training report, Step 6 reads "Training Certificate to be obtained from industry", and in Step 7 the Training and Placement Cell issues its own list of students who completed successfully.

The heading changes from place to place. Karnatak University in Dharwad and GJUST (Guru Jambheshwar University of Science and Technology) in Hisar both title their format an internship completion certificate, and the PM Internship Scheme's FAQ calls it a "certificate of Completion". Whatever it is called, it comes from the host, carries a signature from someone there, and is dated after the period it describes. It says the internship happened and ended; the report, diary and evaluation carry what you did and how well.

How do you get a certificate for completion of internship?

You collect it from the host after the agreed period ends, signed by your mentor there, and hand it in with your report. Under the Internship Guidelines of Guru Jambheshwar University of Science and Technology (GJUST), Hisar, dated 18 June 2025, the report reaches the internship supervisor within 15 days of completion, with "the completion certificate duly signed by the Internship Mentor". Reports without it are not accepted.

1. Before you begin, read your college's rules. GJUST requires prior approval from the head of the department, college or institute before the internship starts, and prints its own certificate format as Appendix-V.
2. Keep records as you go: a dated diary, your attendance, and copies of the work you produce.
3. In the last week, write to your mentor with your exact start and end dates, your role as the offer described it, and your college's format if it has one. Ask for the certificate; leave the wording and the signature to them.
4. When it arrives, check the dates and the spelling of your name, and ask for any correction before you stop replying to each other.
5. Submit it with the rest of your file. An undertaking form published by GPREC for final-semester B.Tech interns has the student promise to hand the department three things at the end: the company's completion certificate, the internship diary and the report.

Is a company required to give an internship completion certificate?

Under the PM Internship Scheme, yes. The scheme's FAQ from the Ministry of Corporate Affairs says companies "must provide a certificate of Completion to the interns" and that it "is only disbursed by the partner company". Outside the scheme, the documents cited here put the duty on the college side: the UGC internship supervisor described above ensures it is issued, and the AICTE Internship Policy makes obtaining it from industry Step 6 of the student's own procedure.

So settle it at the start. When you accept an offer, ask in writing whether a completion certificate will be issued and who will sign it, and keep the reply with the offer. Raise the money terms in the same email, since the label on a free internship or an unpaid one says nothing about the certificate, and check the average internship stipend for your field before you reply.

What if the host delays or refuses the certificate?

Write once more with your exact dates and your college's deadline, then take it to your college's internship supervisor in writing, with copies of your requests attached. In the PM Internship Scheme, the FAQ points interns to the grievance redressal tools on the internship portal, including chatbots, and to a multilingual helpline.

Meanwhile, gather the records that show the internship happened: the offer, the joining report or email, your diary and the work itself. The AICTE policy expects the supervisor to sign the training diary every day, which leaves you a dated record in the host's own hand. Where a stipend was paid, the bank credits carry dates too.

Do not draft a certificate yourself for the host to sign. Ask your department what it will accept in place of the certificate, and get that answer in writing.

What does an internship letter of completion say?

An internship letter of completion names the student, the host and the area of work, and it ends with a signature from someone at the host. Karnatak University, Dharwad prints its format as Annexure "A" of its Guidelines to conduct Internship/Project Work/Field Work for all UG Programmes: on letterhead, addressed "TO WHOMSOEVER IT MAY CONCERN", and signed by the "Mentor of the Organization", with the student's report rated on a scale of 1 to 10. It has no line for dates.

GJUST's Appendix-V asks for more that a checker can use. It records the student's class, roll number and department, the dates the internship ran from and to, the area of work, and a performance rating picked from Satisfactory, Good, Very Good or Excellent. Under the signature come the mentor's name, designation, organisation, address, email and mobile, and the seal of the organisation.

The specimen below follows that shape with placeholders only. It has no signature and no seal, and nobody can issue or accept it.

Is an emailed or digitally signed completion certificate valid?

An electronic signature can meet a legal requirement to sign, but whether your college takes an emailed PDF is its own decision. Section 5 of the Information Technology Act, 2000 says that where any law requires a document to be signed, the requirement is met by an electronic signature affixed in the manner the Central Government prescribes. Under section 3A, the electronic signature or authentication technique used must be considered reliable and may be one specified in the Act's Second Schedule.

Section 9 of the same Act says nothing in sections 6 to 8 gives anyone a right to insist that a government ministry or department, or a body set up under law or controlled or funded by government, accepts a document in electronic form. If the host sends a PDF with an image of a pen signature pasted in, ask your department whether that will do or whether it wants the signed paper original.

The college's format also decides the seal. GJUST's Appendix-V has a line for the seal of the organisation under the mentor's details. Karnatak University's Annexure A names no seal. Follow your own college's format, and where it asks for a seal, ask the host for one.

Is a completed internship letter the same as an offer letter?

No. An offer letter comes before the work and says the host will take you; a completed internship letter comes after and says you finished. The AICTE procedure keeps them apart. At Step 2 the host confirms slots by "Confirmation Letter/ Email", at Step 3 students who join "submit the Joining Report/ Letters / Email", and the training certificate waits until Step 6.

GPREC's form shows the split from the student's side. The request for permission goes in with the company's offer, by letter or email; the completion certificate comes only at the end.

The same form also wants the company's HR or supervisor to sign and date what it calls a relieving letter, "as an acknowledgement of his/her reporting to the internship work", and an attendance report from the company at the end. When a form asks for an internship letter, check whether it means the offer, the reporting acknowledgement or the completion certificate (if the host heads it internship completion letter, it is still the completion certificate) before you write to the host.

Is a completion certificate an experience letter?

No. A completion certificate records an internship, and under the PM Internship Scheme an intern is not an employee. The scheme's FAQ says an offer of internship does not create "any contractual or legal employer-employee relationship" between the Ministry of Corporate Affairs, the company and the intern, and that a Ministry of Labour office memorandum dated 27 September 2024 clarified that scheme interns do not qualify as employees.

The colleges and regulators quoted here ask the host for a completion or training certificate. None of the documents cited in this guide asks a host for an experience letter for an intern. If a job application asks for years of experience, list the internship under its own heading with exact dates, and let the employer's form decide what counts.

Apprenticeship works differently. Under the National Apprenticeship Training Scheme, run under the Apprentices Act, 1961, apprentices receive a Certificate of Proficiency from the Government of India that can be registered at any employment exchange in the country, and the scheme's own page says it "serves as an experience certificate". That is a stipended programme of six months to a year, and the wording belongs to it alone.

Does a course certificate count as an internship completion certificate?

Only where your university says so in writing. GJUST's 2025 guidelines treat training, skill development or certificate courses of four to six weeks or more, offered by government or government-approved agencies, as equivalent to internship courses, and name agencies such as PMKVY, NSDC and NATS. Such a course is graded on the marks the provider awards. That is one university's rule.

The AICTE Internship Policy draws the line in its credit table, Table 2. For workshops, training, festivals and hackathons, the document it proposes as evidence is a "Certificate". For the internship row, which covers industry, government, NGOs, PSUs, small enterprises and online internships, the proposed evidence is an "Evaluating Report", assessed by the faculty mentor, the TPO or the industry supervisor.

A certificate from a course platform records that you finished a course. If your department has not listed that provider, ask in writing before you enrol and keep the reply.

Do you still get one if you leave early or take a break?

Under the PM Internship Scheme (PMIS), "interns who drop out of the internship will not receive the completion certificate", and a drop-out cannot apply for another PMIS internship for one year from the date of joining. Outside PMIS, the host's rules and your college's decide. Who may join the scheme is in the PMIS eligibility guide.

A PIB release of 22 April 2026 puts the assistance at a minimum of ₹9,000 monthly, opens applications to those from 18 to 25, and lets final-year students join with their college's No Objection Certificate. The FAQ still shows the pilot's earlier terms, so confirm what applies on pminternship.mca.gov.in.

PMIS treats a break differently from leaving. In a medical or family emergency a company may grant a sabbatical of up to two months under its own policy. An intern whose break is under two months can rejoin, finish the internship (12 months in the FAQ's pilot terms) and still receive the certificate "as per the satisfaction of the company". A break longer than two months means discontinuing, with the option to reapply in the next cycle.

The same FAQ lists what makes someone a drop-out: stopping suddenly without notice, not responding or rejoining after two attempts by the mentor or supervisor to reach them, or saying they do not want to continue.

The AICTE policy is strict about absence too. It permits a single day off in a four-week internship and two in a six-week one, besides holidays and weekly offs, and says a student found absent on a surprise visit, without having told the Training and Placement cell beforehand, loses the entire training. Whatever the host, tell your supervisor in writing before any break.

How does a college or employer check a completion certificate?

A college reads it against the rest of your file, and an employer checks it with the person who signed it. At GJUST, a committee of at least two teachers gives marks out of 100 for the report and viva together, and 40% is the pass mark. The AICTE policy has the supervisor sign the diary daily, and at the seminar the attendance record and diary are "analyzed along with the Internship Report".

AICTE also has the student hand in an evaluation sheet that the industry has signed and stamped. A certificate that says eight weeks, beside a diary signed for three, is a mismatch a reviewer can see without phoning anyone.

Some certificates carry their own check. The AICTE National Internship Portal says that when you finish an internship there, it issues a certificate with a QR code, and scanning the code opens a verification page on the portal that shows the issuing ministry, the organisation and the period.

For any other certificate, a checker works from what is printed on it, which is why GJUST's format asks for the mentor's email and mobile. A certificate with no reachable signatory leaves an employer nobody to ask. Step-by-step checks are in the certificate verification guide.

Why is a completion certificate worth only the work behind it?

Everyone who assesses you is marking the work, so that is where the certificate's value comes from. At GJUST the report is refused without the certificate, yet all 100 marks come from the report and the viva. UGC's six suggested aspects for its viva committee include the skills the intern picked up and any original or innovative contribution; a certificate is not on that list.

The certificate confirms dates and, at most, a rating and a line of remarks. It does not show that you learned anything, and it cannot answer an interviewer who asks what you did in week three. The diary, the report and one piece of work you can explain do that.
