Internship certificate format: what a genuine one contains (with sample)

Is there an official internship certificate format in India?

Step 6 of the procedure in the AICTE Internship Policy reads, in full, "Training Certificate to be obtained from industry." The same policy annexes ten formats, from a student application (Format 1) to an attendance sheet (Format 10). None of the ten is a certificate. The instruction is to get one from the host; what goes on it is left to the host.

The policy calls the placement "industrial training" and the document a "Training Certificate"; the requirement is the same whatever name your college uses.

UGC's 2023 Guidelines for Internship/Research Internship for Under Graduate Students work the same way. They say the internship supervisor, whom the college nominates, "will ensure issuing of completion certificates to the intern", and that the mentor, after the internship ends, will "issue the certificate/report". The document mentions certificates in those roles and attaches no template.

So any page selling "the official format" is selling a layout someone chose. Your college may have its own form, and where it does, that form is the one to follow. What does a genuine internship certificate contain, field by field?

A genuine certificate names the issuing organisation, the intern, the role, the exact start and end dates, and a signatory with a working contact, so a stranger can check it without calling you. Some of the fields below come from what the AICTE policy's own forms ask the host to record, the nearest thing to a national list. The rest are checks a reader can run, which no regulator requires.

• The organisation's full legal name and address. Format 6 in the AICTE policy, the supervisor's evaluation of the intern, asks for "Company/Organization" and a separate "Internship Address". The office you worked at may not be the registered one.
• A registration number the reader can look up, such as a company's CIN or a non-profit's Darpan ID. Neither the AICTE policy nor the UGC guidelines ask for it. It is on this list because it turns a letterhead into something you can look up.
• Your full name, and ideally your course and college, so the certificate cannot be reused by someone with a similar name.
• The role you held, in words that match your offer letter.
• Exact start and end dates, as day, month and year. Format 6 has "Dates of Internship: From" and "To", and the Format 10 attendance sheet repeats them as dates of commencement and completion.
• Hours, if your college counts credit in hours. Under the UGC guidelines one credit equals 30 hours of engagement in a 15-week semester.
• Two or three lines on the work itself. "Assisted the team" tells a reader nothing; "wrote twelve newsletter emails and cleaned a 3,000-row volunteer sheet" tells them what to ask you about.
• A line on performance, if the host gives one. Format 6 asks the supervisor to rate 20 behaviours, from "Is punctual" to "Produces high quality work", on a scale running from "Needs improvement" to "Excellent", and then to give one overall rating. A certificate that says "sincere and hardworking" is a thinner version of that judgement.
• The signatory's name, designation and a working contact. Format 10 ends with the supervisor's signature, "company stamp/ seal", name and "Contact No."
• A date of issue and, if the host numbers its documents, a reference number.

Missing one of these does not make a certificate fake. Missing the dates or a reachable signatory makes it hard for anyone to believe.

What does a sample internship certificate look like?

The specimen below is an internship certificate example with every field from the list above in place. Every name, number and date is a placeholder in square brackets. It is marked SPECIMEN at the top, in the heading and at the bottom, it has no seal and no signature, and it is not a document anyone can issue or accept.

A certificate from a real host will look different, and should. Treat any internship certificate sample format, this one included, as a map of where the fields go. What matters is that each part in the left column is there and filled with facts that a phone call or an email can confirm.

Can you fill in an internship certificate template yourself?

No. A certificate is the host's statement about you, so it has to come from the host. The AICTE policy puts it as something to be "obtained from industry", and the UGC guidelines give the job to the supervisor and mentor. Under the UGC guidelines the supervisor is nominated by your college, so the certificate reaches you through them rather than from you.

Two things are fair. You can remind a slow supervisor, and you can send them a short list of the facts you would like included (your exact dates, your role title as it appeared in the offer, the two or three outputs you want named). Leave the wording, the letterhead and the signature to them.

Do not put your name on a downloaded internship certificate model with a blank logo space and a stock signature line, even to save a host the typing.

What papers should travel with the certificate?

For a course that follows the AICTE policy, the certificate is one item in a bundle. The student's diary and internship report go to the institute "along with attendance record and an evaluation sheet duly signed and stamped by the industry", and the diary itself is to be "signed after every day by the supervisor".

The UGC guidelines ask for a similar set. Its expert committee assesses, among its suggested aspects, the "Activity logbook and evaluation report of Internship Supervisor", the intern's report, attendance, and the skills acquired, and the intern's report is to be endorsed by the mentor.

1. The offer or confirmation letter that fixed your role and dates.

3. An attendance record for the same dates.
4. The supervisor's evaluation sheet, bearing the host's signature and stamp. The AICTE model letter also asks the host to send a performance report to the college directly, in a sealed envelope.
5. Your own report, with the outputs attached where the host allows. The internship report format guide shows the parts.
6. The certificate, last, because it summarises the rest.

Keep scans of all of them in one folder named by internship. A certificate on its own is a claim; the diary, attendance and evaluation are what hold it up.

What extra certificate does a research internship need?

A research internship adds a certificate about the work itself. UGC's 2023 guidelines say the research project report "shall have an undertaking from the student and a certificate from the research supervisor/mentor/advisor for originality of the work", stating that there is no plagiarism and that the work has not been submitted for any other degree or diploma, in the same institution or elsewhere.

The same page says the research internship can be judged on innovativeness of research, presentation and a viva-voce, and that the viva includes both an internal and an external examiner. So a research intern needs two certificates: the completion certificate, and the originality certificate from the research supervisor, mentor or advisor, bound into the report with the student's own undertaking.

How does a college or employer check an internship certificate?

Under the AICTE and UGC rules, a college does not judge the certificate alone; it weighs the diary, attendance and the supervisor's evaluation. Under the AICTE policy, training is evaluated in three stages: by the industry, by a faculty supervisor through site visits, and through a seminar or viva at the institute, where attendance, diary and reports are "analyzed along with the Internship Report".

Some of that evidence never passes through the student's hands. The AICTE model letter to hosts (Format 4) asks them to send the performance report to the placement officer "in sealed envelope" at the end of training. The policy also provides for a surprise visit "to check the student's presence physically", and if the student is absent without telling the Training and Placement Cell beforehand, the whole training is cancelled.

Under the UGC guidelines, the viva is before a committee with one internal and one external expert. A certificate that says six weeks, next to a logbook with nine entries, is the kind of mismatch that committee can notice.

Employers have none of that paper. They may email the signatory, look the organisation up, and ask you in the interview to explain one task in detail. What does the organisation's registration number on a certificate tell you?

A registration number tells you the organisation exists on a government register, and nothing about whether your internship happened. That limit matters in both directions: a real internship can come from a small host with no number on its letterhead, and a fake certificate can carry a real number copied from a real organisation.

For a non-profit, the number is often a Darpan ID from NPO Darpan, the NITI Aayog portal. Its home page says NITI Aayog "does not issue any Physical Darpan certificate" and gives the ID "on the basis of self-declared affidavit". The same page warns that a Darpan ID confers no endorsement or recognition by NITI Aayog, and prohibits NPOs from using the NITI Aayog name or logo "in any manner", so a certificate carrying that logo breaks the portal's own notice.

The portal's NPO Directory searches by name or Darpan ID, and it keeps a separate list of blacklisted NPOs. Check that the name on the certificate matches the name the directory returns for that ID.

For a company, the number is a CIN. The Ministry of Corporate Affairs' Master Data Services search returns the company or LLP name, the CIN, the state and the status. A status other than active, or a name that does not match, is a question to put to the signatory before you rely on the certificate.

Why is a certificate worth only the work behind it?

A certificate is worth only the work behind it, because the people who read it are assessing the work. The UGC committee's list of what to look at includes "Acquisition of skill sets by the intern" and "Originality and any innovative contribution". The AICTE seminar is marked partly on "Depth of knowledge and skills". Neither list mentions the certificate.

That is why a certificate for four weeks of real, describable work beats one for three months with nothing to show. If you can explain a task, show an output and give a reachable name, the certificate backs you up. If you cannot, the certificate raises questions you will have to answer in the room.
