Bonafide Certificate for Internship: The Five-Document Chain

Which papers does a self-arranged internship run on?
Five documents, moving in two directions. The college issues a bonafide certificate, a no-objection certificate and a letter of introduction addressed to the host organisation. The host sends back a written confirmation of the dates and, at the end of the placement, a completion certificate. Only that last document carries marks.

The gap sits in the middle, and it is a documentation gap rather than a rule. University internship guidelines publish the formats that come back from the host, because those decide your grade. Host organisations publish what they want from the college. Few documents on either side print the whole sequence.
Four published university internship documents and two central government host schemes are cited throughout. Your own university ordinance is the binding one; these show what the rest of the system asks for and what the paper is expected to look like.
What must a bonafide certificate for an internship contain?
Ten items, on institutional letterhead, signed by the Director, Principal or Head of Department. The internship and project training scheme at the Satish Dhawan Space Centre SHAR, Department of Space, ISRO is unusually exact about this, and asks that the bonafide certificate or request letter from college contain every one of the fields it lists.
Those fields are the student's name, registration number, degree, branch, period of study written as month and year to month and year, present academic year and semester, CGPA out of 10 or percentage of marks up to the last semester, the purpose for which the certificate is issued, the requested duration in months and days, and the student's character and conduct.
Two of those are the ones a college office routinely leaves out. The purpose line has to name the internship, so a certificate printed for a passport or a scholarship will not carry over. The duration has to match the dates you have discussed with the host, which means you need the dates before you queue at the office, not after.
Sriharikota also wants the whole file as one PDF under 2 MB, reaching the Head, HRM at least a month before the start date you want, with a consolidated mark sheet and two IDs.
Other central hosts want the same paper with less specification. The National Institute of Epidemiology of the Indian Council of Medical Research requires a signed bonafide certificate from the institution to be uploaded with a passport photograph at registration, and states that incomplete applications will be rejected. It takes applications only from the 1st to the 7th of a month, at least a month ahead of the proposed start, posts the selected list by the 16th, and was listed as temporarily suspended when this page was checked.
Get more than one signed original if your office allows it. Both schemes want the certificate at application stage, before anyone has agreed to take you, so a single copy handed to the first organisation leaves you starting again at the second.
Do you need a separate NOC, or does one letter do both?
One letter can do both, and at least one university publishes it that way. Annexure B of the Karnatak University, Dharwad guidelines to conduct internship, project work and field work for all UG programmes is a single page on college letterhead certifying that the named person is a bonafide student of the college, that the college has no objection to the internship at the named organisation for the stated period, and that the conduct on record is good or satisfactory. It carries two signatures, the Head of Department and the Principal.
Karnatak University has run those guidelines since the academic year 2021-22, when it introduced the National Education Policy 2020 across every undergraduate programme.
Ask your office which practice it follows before you request anything, because a combined letter saves a second visit and a separated pair gives you a spare bonafide certificate. Who writes the letter of introduction, and what does it have to do?
The Principal writes it, addressed to the head of the host organisation, and its job is to make the request institutional. Gujarat University publishes the template as Appendix III of its general guidelines for implementation of internship as per NEP 2020, dated November 2025, under the heading Organization Outreach Letter.
The template runs on college letterhead over the subject line Request for Internship for Undergraduate Students of our college. It carries a table of every student being sent to that organisation with class, roll number and mobile number, attaches their resumes, and closes by asking the organisation to confirm availability, with a confirmation within one week described as appreciated.
The handling instruction matters more than the wording. Gujarat University's note on that appendix directs that the letter go to the organisation in two copies, one of which comes back signed and stamped as received by the head of the organisation and stays in the college file. That returned copy is the only proof that the approach was made through the institution.
Where the placement cell hands you a blank letter to fill in yourself, three details decide whether it is usable: the organisation's registered name spelled as it appears in its own filings, a named addressee rather than a generic salutation where you know who runs the office, and a signature and seal obtained before you send it rather than after the host replies.
The same guidelines list the other papers a department is expected to share with a host: the diary or log recording format, the attendance sheet, the supervisor's evaluation form and the evaluation proforma. Carrying those with you on day one is how the host learns what it has committed to sign later.
What does the host's confirmation have to pin down?
Dates, hours and a named supervisor. The University Grants Commission's Guidelines for Internship and Research Internship for Under Graduate Students of 2023 leave selection to the host, which informs the intern and asks for confirmation or acceptance, and then has the student obtain permission from the parent institution before joining.
A confirmation can be an email. The Sriharikota scheme intimates acceptance or rejection to the student by e-mail only, and nothing in the four university documents read for this page requires the host's reply to be on letterhead. What matters is that the reply is in writing and names the dates.
Check those dates against your programme's window before you accept. Gujarat University requires the internship in Semester VI, at the beginning of Semester VI or in the break that follows it, with a minimum of 120 clock hours for four credits, a span it puts at three to six weeks, and an expectation of at least 30 hours a week.
Karnatak University puts it in the fifth or sixth semester at 45 to 60 hours for two credits, which it allows as 15 full-time days, or as four hours a week across 13 to 14 weeks.
A national floor sits under both. The UGC makes an internship of 60 to 120 hours after the fourth semester mandatory for students in undergraduate degree programmes, and allows 2 to 4 of the required 120 or 160 credits to be assigned to it, counting one credit as 30 hours of engagement in a 15-week semester.
Two housekeeping rules travel with the confirmation. Gujarat University lets a student apply to several organisations at once but requires that only one offer be accepted and that the internship cell be told once it is. Its evaluation section also requires the student to inform the Head, Principal or Director and obtain approval before starting.
Ask for the supervisor's name and designation in that reply. The person who confirms you is not always the person who will sign at the end, and the certificate is worth nothing if it is signed by someone who never saw your attendance.
What must the completion certificate contain for the college to grade it?
Period, work done and a rating, because in several universities the host is not certifying you but scoring you. Bangalore University's internship guidelines for the sixth semester of the B.Com require a certificate from the organisation stating the period and a brief description of the nature of the internship, meaning the responsibilities handled.
Alongside it the organisation fills in a confidential rating, and Bangalore University scores that rating as part of the B.Com marks rather than treating it as a document to file. Gujarat University goes further and merges the two. Appendix VI of its guidelines sits on the organisation's letterhead, awards up to 20 marks for completion of hours, 15 for quality of performance and 15 for punctuality and regularity, and prints the certifying sentence underneath, naming the hours, the dates, the supervisor and the agency. Those 50 marks are the external half of the assessment; the department mentor awards the other 50 for weekly reports, the written report and the viva.
Karnatak University's Annexure A is the plainer version: a to-whomsoever-it-may-concern certificate on organisation letterhead naming the college, semester and subject, listing the areas the student worked in, rating the performance in preparing the report on a scale of 1 to 10 points or a grade, and signed by the mentor of the organisation.
The 2023 UGC guidelines put the duty on the host side of the relationship, stating that at the end of the internship the internship supervisor will ensure the issuing of completion certificates to the intern. They also expect the internship to be followed by one project report, which is the document your college evaluates.
Hand the certificate format to the host on the first day rather than the last. An organisation asked in the final week to grade punctuality it never recorded will either refuse or invent, and Gujarat University sets a 15-day deadline for submitting the report after completion, which does not leave room for a second attempt.
Can a nonprofit issue these documents, or must the host be a company?
A nonprofit can. Non-government organisations are named as eligible hosts in the UGC guidelines and in the university documents read here, and none of them requires a host to hold any licence or to be a company. What is required is a supervisor who will sign, letterhead to sign on, and records good enough to certify hours.
The UGC guidelines list the internship workplace as an organisation, enterprise, start-up, corporate, farmland, artisan, gig worker, non-government organisation, research and development organisation or higher education institution, and elsewhere include community service organisations, libraries and organisations working in adult education in the same breath as industry.
Bangalore University's B.Com list reads the same way in substance. It restricts the field of work to commerce and management and introduces its list of hosts as business enterprises and corporate establishments only, then names inside that same list micro, small, medium and large-scale organisations, sole proprietary and partnership firms, government organisations and departments, local bodies, public and private sector banks, non-government organisations, development agencies, co-operative societies and any other organisations, anywhere in India or abroad.
That wording is not self-consistent: NGOs and co-operative societies sit inside a list introduced as corporate establishments only.
Sector is rarely the constraint; supervision is. A host with no one able to countersign an attendance sheet daily is a problem in any sector, and some disciplines add their own rules on top, which is why the host conditions attached to a psychology practicum and the on-the-job-training host rules for a B.Voc are narrower than the general undergraduate position described here.
What do you do when the office will not issue anything?
Put the request in writing, quote the document, and name the authority who decides. Colleges refuse most often because nobody in the office knows which form applies, so arriving with the university's own published annexure converts the question from a favour into a filing task.
Send one email, and keep it to six lines: your name, roll number and programme; the semester and the internship paper it belongs to; the exact document you are asking for; the host's registered name and address; the start and end dates; and the date you need it signed by. Ask for a written reply either way.
If the answer is that no format exists, ask for the university's internship guidelines for your programme by name. All four documents cited on this page are published on university and state government websites, and a college that has not printed its own is generally expected to work to the parent university's.
Escalation is written into those guidelines. Bangalore University states that in case of any doubt or ambiguity in interpreting its internship guidelines, the decision of the Dean, Faculty of Commerce, shall be final. Gujarat University reserves a power to remove difficulties under which the Vice Chancellor may pass an order making provisions consistent with the Act, Statutes and Ordinances, subject to ratification by the university's statutory bodies.
Read the dates on whatever you are given. The Gujarat University document describes itself as a draft subject to modification, and the Bangalore University guidelines are programme-specific and semester-specific, so a senior's copy from two years ago can describe a requirement that no longer matches your ordinance.

How long does a bonafide certificate for an internship stay valid?
No published rule sets a validity period, and the practical limit is what the letter itself says. The Sriharikota format prints the requested duration and the present academic year and semester, so a certificate issued in the fifth semester describes a fact that stops being true when you enter the sixth. Where a host is deciding weeks after issue, ask for a fresh copy rather than sending one dated to an earlier semester.
What if the host asks my college to sign an agreement before taking me?
That is a normal request, and one university already prints the form. The Karnatak University, Dharwad internship guidelines carry a memorandum of understanding template between the college as first party and the internship-offering organisation as second party. A host asking for a written arrangement is asking for something a university has itself drafted, so take that template to your department rather than leaving the host to write its own.
The host wants a letter from the college and the college wants a letter from the host. How do you break the loop?
Start with the document that names nobody. A bonafide certificate states only that you are enrolled, so an office can issue it without knowing where you are going, and it is exactly what the Sriharikota and ICMR-NIE schemes ask for at application stage. Once a host replies in writing, that reply gives the college the host name and dates it needs for the no-objection letter and the letter of introduction.
Is a bonafide certificate the same as a conduct certificate?
They overlap, and in two of the formats read here they are one piece of paper. The Sriharikota bonafide format prints character and conduct of the student as one of its ten fields, and Karnatak University's Annexure B closes with a line certifying that the conduct recorded by the college has been found good or satisfactory. If a host asks for both, check whether your college's bonafide format already carries the conduct line before you queue twice.
What should I do if the host signs the certificate but leaves out the hours?
Ask for it again in the same week, while the attendance record still exists. Gujarat University's external evaluation gives up to 20 marks for completion of hours alone and its certifying sentence prints the hour figure, and Bangalore University requires the period of the internship to be stated. A certificate without hours or dates leaves the examiner nothing to check the requirement against, and a host is far more willing to reissue on the spot than a month later.
Who keeps the original documents once the internship is over?
Split them deliberately. Gujarat University's outreach letter goes to the host in two copies with one returned marked as received for the college file, and Karnatak University's student undertaking commits the student to submit a copy of the internship certificate and the report to the college within a stated number of working days. Keep your own scan of everything, since the certificate is the document your marks are computed from.
Can an internship arranged through a government portal count instead?
At one university it can. Gujarat University treats internships, apprenticeships and skill development or training programmes offered through central or state government portals as equivalent to an internship, and also counts government or government-recognised training certificate courses of at least three weeks. That is a university-level decision rather than a national rule, so check your own ordinance before you substitute one for a placement.
