Internship application letter and email: format and a sample

Short answer

An internship application letter is a one-page note of four paragraphs, pasted into the email unless an attachment is requested: the role, two things you have done, what you know of the organisation, and a request to talk. Some hosts also need a sponsoring letter: AIIMS New Delhi's short-term training will not consider self-sponsored candidates.

Are you replying to an opening or asking whether one exists?

Replying to an opening calls for an application letter; asking whether one exists calls for a letter of enquiry, sometimes called an internship request letter. The Cover Letter Writing Tips booklet, an Internship & Career Development Center handout hosted on Indus University's course site, names both: "The application letter which responds to a known job opening" and "The prospecting, unsolicited letter of enquiry which asks about possible positions".

The opening line changes with the type. A reply names the role and where you saw it; an enquiry names the work you hope to do and asks whether interns are taken at all.

On a listing board, the letter may shrink into a box on a form; Internshala's help page tells students who were not selected to improve their answer to its "Why should you be hired?" question. For that route, read the guide to applying through a listing board so a small organisation reads it.

One case needs no letter from you at all. If the opening came through your college's placement cell, the cell may forbid direct contact. Student guidelines for 2025-26 from Jesus and Mary College's Placement Cell say communication with recruiters "must be channeled via The Placement Cell" and that direct communication "is NOT permitted". That rule covers openings routed through that cell; read your own college's.

Who do you address, and what goes in the subject line?

Address the letter to a named person where you can find one, write "Dear Hiring Manager" when you cannot, and put the role in the subject line. Harvard College's Guide to Creating a Strong Resume says to address letters to a specific person if you can. The handout says to "list the position you are applying for in the Subject Line".

For a small organisation, look for whoever signs its programme posts, on the team page or in the latest annual report. Failing that, address the role. The MIT Career Advising and Professional Development guide to cover letters suggests "Dear Hiring Manager" when you are not sure whom to write to. The booklet's own email sample opens "Dear Sir/Madam"; keep that for when neither a name nor a role can be found.

A working subject line carries the kind of letter, the role or area, your dates, and your name or course, in that order. If the listing gives a reference number or code, copy it in; the MIT guide asks for it so that the organisation's human resources staff can track your application.

What is the internship application letter format, paragraph by paragraph?

To write an internship application letter, four short paragraphs are enough: the role and how you found it, what you have done that fits, what you know about the organisation, and a request to talk. The booklet's template follows that order and keeps the whole letter to a page or less, with no paragraph longer than four sentences. Harvard's guide says the same about length and adds "Avoid flowery language."

  1. Opening. Name the role, or the kind of work, and where you heard of it. The booklet allows one or two sentences on why you want this position.
  2. Evidence. Pick two things you have done that match what the organisation needs, and give a number or an output for each. For an application letter with no experience to draw on, the booklet points you to coursework, college activities and what you did over the summer; the guide to writing a cover letter with no experience goes further.
  3. The organisation. Show you have read something it published: a report, a campaign, a product page. The booklet's point is that this shows the letter is not "a standard letter, where only the address and contact name is changed for each position".
  4. Close. Give your dates, whether you can work online or in person, and any requirement your college attaches, then ask for a short call and thank them.

State your college's requirement plainly. Guru Jambheshwar University's 2025 guidelines, for example, require every UG student to complete a 4-credit internship of 4 to 6 weeks (120 hours) in the summer vacation after the second or fourth semester examination.

The fourth paragraph also carries anything unusual. The booklet's template makes it the place to explain anything out of the ordinary on your resume. A gap year or a change of course would fit there, in one sentence.

For a printed letter or an attached file, the booklet's template and sample lay the page out in this order: the date; the recipient's name, title, organisation and address; the greeting; a "Ref" line naming the post and any reference number; the four paragraphs; then "Sincerely", four blank spaces for your signature, and your name in print.

What does an internship application letter sample look like?

The specimen below is an email reply to a listed internship. Square brackets mark what you fill in with true facts.

For an enquiry to an NGO that has posted nothing, change the subject to "Internship enquiry: [area of work], [start month] to [end month], [course and year]", and make the opening ask whether it takes interns in that area at all, after naming a report or project of its own that you read.

For a formal letter to a company, printed or attached, use the layout described above and list the enclosures at the foot: the resume, and the college letter if your course requires one.

Treat the specimen as an example of an application letter for an internship in one situation. It cannot be sent as it stands, because a letter is worth only the facts you put into it. If a bracket cannot be filled with something true, leave that line out rather than invent it.

When applying for an internship via email, does the letter go in the body or as an attachment?

Paste the letter into the body of the email and attach only the resume, unless the organisation asks for something else. That internship application email format follows the handout, which puts a short letter in the message itself and keeps attachments for when an employer asks for them; the resume, where one is wanted, goes as a PDF or Word file.

  1. Put the role in the subject line, paste the letter into the body, and add your name and contact details under the sign-off.
  2. Attach the resume as a PDF with your name in the file name. For the resume itself, see the walk-through on resume format for internship applications.
  3. Send it to yourself first, as the booklet recommends, to see that the formatting survives. Harvard's guide asks you to check the same when you convert a letter to PDF.
  4. Log each letter, the date and the address it went to. The booklet tells readers to keep copies of every cover letter for the same reason.

How do you write an application letter for an internship in a hospital?

Ask the hospital first whether it needs a letter from your college; some will not consider you without one. The All India Institute of Medical Sciences (AIIMS), New Delhi, in its Guidelines for Short-Term/Long-Term Training, offers training of up to six months to candidates sponsored by government bodies, institutions or approved medical, dental and nursing colleges, and says that applications forwarded by a Professor and Head of Department, and "Self Sponsored Candidate(s)", "will not be considered".

On the same page, applicants send a bio-data with photocopies of certificates, Indian trainees pay "Rs.1,000/- per month", and letters go to the Dean or Registrar, Academic Section II. It also says the institute does not permit "compulsory rotating Housemanship / Internship / Project Work" that is part of a degree or course curriculum. So AIIMS short-term training is not a route for a compulsory rotating internship, or for any other internship or project work your course requires.

A research programme can ask for two documents. The Indian Institute of Science (IISc) MBBS/MPH research internship page asked 2026 applicants for a "Statement of Intent (200 words max)" and a "letter of support from the Registrar/Dean/Principal of their institution on the official letterhead", in IISc's prescribed format. Its 2026 deadline, 10 April 2026, has closed.

Some courses let you approach the hospital yourself. IGNOU's internship manual for the MSc in Dietetics and Food Service Management tells the learner "you may make your own efforts in contacting the dietetic department/chief dietitian of the concerned centre", and adds "Do inform the programme in charge of such arrangements."

So an application letter for an internship in a hospital goes to the office the hospital names, the Dean or Registrar at AIIMS or the chief dietitian in IGNOU's case. It states your course, the dates and hours your programme needs, and your college supervisor, and the college's letter goes with it wherever the hospital asks for one.

When does your college write the letter instead of you?

For engineering students at a college that follows the AICTE procedure, the first letter to the host comes from the college. Step 1 in the AICTE Internship Policy: Guidelines & Procedures reads: "Request Letter/ Email from the office of Training & Placement cell of the college should go to industry to allot various slots of 4-6 weeks during summer vacation". The same policy, written for technical institutions, proposes that a minimum of 14 to 20 credits of internship, entrepreneurial activities, project work, seminars and institutional training may be counted toward a B.Tech degree.

The policy's model for it, Format 2, is headed "REQUEST LETTER FROM INSTITUTE TO INTERNSHIP PROVIDER" and is signed by the Training & Placement Officer. Under Step 2, students who find a place themselves submit the host's confirmation letter to the Training & Placement office through their department.

Guru Jambheshwar University's 2025 internship guidelines set a longer chain. The student applies to the college's Internship Cell on a prescribed form (Appendix-I). The Internship Supervisor then "will issue a recommendation letter (Appendix-II) to the student for the internship providing organization", and the student obtains the host mentor's consent on Appendix-III.

Format 2 and Appendix-II are letters the institution issues and signs. When a host asks for "a letter from your college", ask for one of these; the guide to NOC letters for internships has the related paperwork.

What will the organisation or your college check against your letter?

Expect every fact in the letter to be checked against a document. The IISc MBBS/MPH internship programme says "Latest transcripts/Marks sheet will be checked before the start of the internship", and that IISc "reserves the right to determine the eligibility of applicants at any stage".

Jesus and Mary College's Placement Cell reserves the right to debar or blacklist a student who gives misleading or inaccurate information in a drive, from some or all future internships or placement opportunities it facilitates.

A letter is worth only the facts behind it. If paragraph two says you ran a survey of 200 people, keep the sheet. If it names a course, be ready to talk about one assignment from it.

The same facts come back when the internship ends. Guru Jambheshwar University's guidelines have the student submit the internship report with a completion certificate signed by the host mentor (Appendix-V), and say reports without it "will not be accepted". A committee of at least two teachers marks the work out of 100 on the report and a viva-voce, and the student must secure at least 40%.

Common questions
Is an internship application letter the same as a cover letter?

Mostly, yes. The Cover Letter Writing Tips booklet, an Internship & Career Development Center handout hosted on Indus University's site, treats the application letter as one of three kinds of cover letter: the one that responds to a known opening. A letter asking whether an organisation takes interns at all is what it calls a prospecting letter of enquiry. Both sit on top of your resume and add what the resume cannot show.

How often should I use 'I' in an internship application letter?

Sparingly. Harvard College's Guide to Creating a Strong Resume, from its Mignone Center for Career Success, says "Don't overuse the pronoun 'I'" and asks for letters that are concise and factual, with examples that support your skills. Open some sentences with the work itself, such as the survey, the project or the event, and keep your name for the sign-off.

Can I mention a relative or senior who works at the organisation?

Yes, briefly, in the first paragraph. The Cover Letter Writing Tips booklet, an Internship & Career Development Center handout hosted on Indus University's site, says that if you have an alumnus, family or other contact in the organisation, you can mention it in the opening paragraph. Name the person only if they have agreed to it, and keep the evidence of your own work in the second paragraph.

How long should I wait before following up on an internship application email?

Two to three weeks. The Cover Letter Writing Tips booklet, an Internship & Career Development Center handout hosted on Indus University's site, has the last paragraph of its template say that if you do not hear anything in two to three weeks' time, you will follow up. If a listing gives its own closing date or response time, wait for that instead, then send one short, polite follow-up.

Should my application letter and resume use the same font?

Yes. Harvard College's Guide to Creating a Strong Resume tells students to ensure the resume and cover letter are prepared with the same font type and size. If you send the letter in the email body, the point applies only to what you attach, so keep any attached PDF consistent and check the formatting survives conversion to PDF before you send it.

Should I mention my CGPA in an internship application letter?

Only if the listing asks for it or it supports the role, and then exactly as your marksheet shows it. The Indian Institute of Science (IISc) MBBS/MPH research internship page says latest transcripts or marks sheets will be checked before the internship starts, and that IISc can decide eligibility at any stage.
